Data Security & Confidentiality Policy
How we protect your company file, financial records, and personal information while we work.
Last updated: August 16, 2026Encrypted Transfer
Files move over encrypted connections at every stage.
Visible Sessions
You stay on-screen for any remote work — nothing happens off-camera.
Scheduled Deletion
Working copies of your file are deleted after project sign-off.
1. What This Policy Covers
This policy explains how M3LME handles your company files, financial data, and any personal information shared with us in the course of a project — separate from our general website Privacy Policy, which covers site visitor and contact-form data.
2. How Files Reach Us
- Files are transferred using encrypted upload links or encrypted remote-access sessions — never sent as unprotected email attachments where an alternative is available.
- For remote troubleshooting sessions, you remain present and in control of your screen at all times; we do not request unsupervised access to your systems.
- We only request the minimum access needed to complete the scoped work — not broader account or system access.
3. How Files Are Stored During a Project
- Working copies are kept on access-controlled systems, limited to the team member(s) assigned to your project.
- We do not use client files for any purpose beyond the scoped project — including training, marketing, or sharing with third parties.
- Backups made during a project (e.g., before a repair attempt) are treated with the same confidentiality standard as the original file.
4. Retention & Deletion
| Data Type | Retention Period |
|---|---|
| Working copies of company files | Deleted after project sign-off and the follow-up window ends |
| Diagnostic & migration summaries | Retained as project records unless you request deletion |
| Payment & invoicing records | Retained as required by applicable financial record-keeping law |
| Support session notes | Retained for a limited period to support any follow-up requests |
You may request early deletion of your project files at any time by emailing us — see below.
5. Who Can Access Your Data
Only the team member(s) directly assigned to your project can access your file during active work. We do not outsource client files to third-party contractors without your knowledge, and we do not sell or share client data with advertisers or data brokers.
6. Your Responsibilities
- Keep your own backup of your company file before sending it to us.
- Use the secure transfer method we provide rather than an unencrypted alternative where possible.
- Let us know promptly if you believe access credentials shared with us may have been compromised.
7. Reporting a Concern
If you believe your data has been mishandled or you have a security concern about a project, contact us immediately using the details below and we will investigate and respond promptly.
